Open Positions

We are seeking a talented Administrative Assistant to join our team. This position is full-time and is located
in Geyserville. We offer a competitive compensation and benefit package.
JOB SUMMARY:
The Administrative Assistant will provide high-level administrative support to the CFO and Human Resources
Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
 Receives and reviews incoming communication on behalf of the CFO. Prioritizes and summarizes.
 Prepares and sends correspondence.
 Maintains schedule of meetings/appointments for CFO.
 Deposits checks.
 Completes credit applications as directed by the CFO.
 Maintains and reconciles administrative office petty cash.
 Receives and records monthly rental payments and security deposits.
 Monitors office supply inventory and orders supplies as needed within budget.
 Maintains the postage machine.
 Answers and directs incoming calls.
 Tracks and organizes information/schedules for CFO & HRM and sends reminders as indicated.
 Greets and directs visitors.
 Assists team members with any IT needs.
 Acts as the point of contact for all general administrative office inquiries.
 Collects, sorts and distributes mail.
 Plans and schedules office maintenance needs.
 Assists CFO, Human Resources Manager and Marketing Manager with special projects.
 Reviews and responds to various requests for information from internal and external customers.
 Reviews and distributes resumes to hiring managers.
 Performs reference checking for candidates.
 Performs new hire orientation and sets up personnel files.
 Prepares meeting materials.
 Maintains strict confidentiality at all times.
 Performs copying, shredding, filing and data entry.
 Tracks due dates and sends reminders for all training and performance management initiatives.
 Other duties as assigned.
MINIMUM JOB REQUIREMENTS:
 Must be able to maintain strict confidentiality at all times.
 Must be highly organized with a strong attention to detail.
 Must possess the ability to multi-task, prioritize and work independently as well as part of a team.
 Ability to take initiative, research, analyze and make sound recommendations/decisions.

 Must be at least 18 years of age.
 Excellent verbal and written communication skills.
 Ability to type a minimum of 50 words per minute.

 Ability to travel to various company locations and run errands as needed.
 Valid class C driver license, reliable/insured transportation and an acceptable driving record.
 Must be comfortable receiving, counting, reconciling and safely storing/transporting money.
 Intermediate to advanced level of proficiency with MS Office Suite with the ability to learn new or
updated software.
 Able to safely and efficiently operate standard office equipment.
EDUCATION:
High School Diploma or GED required. Associate’s, Bachelor’s degree and/or professional certificate in
Business Administration or related field preferred.
EXPERIENCE:
A minimum of one year of full-time executive level administrative experience. Working knowledge of
accounting and human resources practices preferred.
LANGUAGE SKILLS:
Fluent in the English language. Bilingual, English/Spanish preferred. Ability to communicate in a professional
and effective manner in both oral and written form.
MATHEMATICAL SKILLS:
Ability to use a ten-key and add, subtract, multiply, and divide in all units of measure, using whole numbers,
common fractions, and decimals. Able to accurately reconcile petty cash and prepare deposits.
REASONING ABILITY:
Ability to accurately analyze information, identify and resolve discrepancies, effectively problem solve and
formulate solutions.
COMPUTER SKILLS:
Must be fully proficient in Microsoft Office Suite. QuickBooks experience preferred.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be performed by an employee to

WORK ENVIRONMENT:
The noise level in the work environment is usually low. Most job duties will be performed within an office
environment utilizing office equipment. Employee may occasionally travel to other WAW locations. The
employee will also run errands and make deposits.

JOB SUMMARY:
As a part of the Wilson Artisan Wineries Accounting Department, the Accounting & Payroll Specialist performs a wide
variety of duties related to accounting functions, including, but not limited to: A/P, A/R, reconciliation of accounts, cash
handling, manual checks, data entry and payroll processing.
SOME OF THE DUTIES AND RESPONSIBILITIES WILL INCLUDE, BUT ARE NOT LIMITED TO:
 Performs payroll processing on a bi-weekly basis.
 Prepares manual checks.
 Reconciles accounts.
 Monthly and quarterly sales tax reporting and payment.
 Processes and records monthly payments for various accounts.
 Reconciles monthly accounts such as bank accounts and credit cards.
 Reconciles Rabo Bank on a daily basis.
 Counts and deposits cash for each location.
 Prepares invoices for custom crush and storage.
 Records Principle and Interest rates on all loans.
 Bank deposits and running errands.
 Other duties & responsibilities as assigned.
MINIMUM JOB REQUIREMENTS:
 Must be highly organized with a strong attention to detail.
 Must possess the ability to multi-task, prioritize, and work independently as well as part of a team.
 Able to effectively research, reconcile and analyze information.
 Must have exceptional documentation and follow through skills.
 Requires the ability to maintain strict confidentiality.
 Strong interpersonal and customer service skills.
 Must have reliable, insured transportation, a valid driver’s license and an acceptable driving record.
 Must be proficient at an intermediate level or above in MS Office Suite, ADP and Quickbooks.
 Able to key 60 wpm.

HS diploma or GED. AA/BA degree and/or professional certificate in accounting or payroll preferred.

Fluent in English in both written and oral formats. Bi-lingual (English/Spanish) preferred. Ability to communicate in a

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and
decimals. Ability to compute rate, ratio, and percent. Able to detect variances and reconcile accounts.
